We’re looking for a highly experienced and strategically minded Executive Assistant to support our Chief Operating and Financial Officer (COO/CFO). This isn’t your typical administrative role: it’s a critical, high-visibility position that requires proactive judgment, strategic thinking, and operational excellence. You’ll work closely with our COO/CFO to help manage priorities, drive business outcomes, and ensure they are operating at peak effectiveness.

Here’s What You’ll Do:

  • Executive Support: Manage complex calendars, travel, meetings, and communications with precision and discretion. Anticipate needs and stay several steps ahead.
  • Operational Coordination: Monitor and align the COO/CFO’s schedule with shifting business priorities. Serve as a gatekeeper and trusted liaison both internally and externally.
  • Strategic Support: Act as an extension of the COO/CFO by preparing executive briefings, coordinating high-impact projects, and tracking key deliverables.
  • Internal Communications: Draft correspondence, presentations, and reports on behalf of the COO/CFO. Maintain strong, professional communication with internal stakeholders.
  • Meeting & Event Management: Plan and manage leadership meetings, offsites, and cross-functional touchpoints. Own agendas, logistics, and follow-ups.
  • Whereabouts & Visibility Management: Maintain awareness of and communicate the whereabouts and availability of the COO/CFO to relevant internal teams.
  • Cross-Functional Partnership: Collaborate across departments (Finance, HR, Legal, Operations, and Product) to help drive operational efficiency and clarity.
  • Confidentiality & Judgment: Handle sensitive information with the utmost discretion, demonstrating sound judgment at all times.

What You Bring to the Table:

  • 7+ years of executive support experience, preferably in a tech-forward or high-growth organization
  • Experience supporting C-level executives; exposure to both finance and operations functions is a strong plus
  • Strong business acumen and ability to understand company priorities and act accordingly
  • Excellent project management and organizational skills; you're comfortable navigating ambiguity
  • Outstanding communication—both written and verbal
  • Highly proactive, resourceful, and adept at anticipating needs
  • Professional maturity, discretion, and strong interpersonal presence
  • Comfortable in a hybrid environment and able to be in our Needham office regularly
