Step into an instrumental role as a full-time front office Client Service Associate to help conduct the smooth operation of a fast-paced, friendly, well established and growing financial planning practice in Braintree, MA. We are an independent franchisee of Ameriprise Financial with over 30 years of experience advising clients nationwide and conveniently located near I93 with plenty of free parking. Hours: Monday to Friday 8:30 am to 4:30 pm – In office

Pay: $55,000 to $60,000 annually depending on experience with bonus opportunities.

Responsibilities include but not limited to:

  • This role provides support for the day-to-day running of the office. Requires a high level of problem solving, organization, time management, attention to detail and customer service skills.

  • Schedule and update client appointments and prepare the review and report packages for each meeting; maintain client files in Box and Online File Manager.

  • Conduct client appointment reminder calls/emails and check-in calls on follow up items.

  • Answer phones and respond to emails in a timely manner. Ability to help with service requests, answer questions and problem solve across a wide variety of financial issues. Document client contacts/calls and related client service in CRM.

  • Prepare correspondence for advisor signatures and mail to client.

  • Copy, upload, and track all client and practice materials including business correspondence, checks and applications or forms.

  • Copy and follow up with home office on related issues as needed.

  • Assist the client service specialists, paraplanner, associate financial advisor and advisor as needed.

  • Perform other allowable duties as assigned by the financial advisor(s).

  • Greet clients upon arrival and extend hospitality to clients.

  • Set up and maintain the client management system for each client.

Responsibilities and Time Allocation: Will change over time to meet the needs of the practice and can include other duties as assigned by the advisor(s).

Key Traits of a Successful Client Service Associate:

  • Must have strong organizational and computer skills, be proficient with Microsoft Office, including managing Outlook calendars daily, and can learn new software quickly. Experience with a CRM-type program is highly desirable. Must be a quick learner to become proficient in the position in a timely manner.

  • Must be detail oriented, can multi-task with excellent time management skills and keep track of progress for assigned tasks while sitting at the hub of the office. Be proactive and prioritize. Ability to adapt quickly in a fast-paced environment.

  • Effective communication and proven customer service skills with clients and other team members both in person, through e-mails, and on the phone. Must be able to work both collaboratively and independently.

  • This is a highly regulated industry, must have the ability to adhere to the rules and regulations as stated and required by the advisors and Ameriprise compliance department. Can support and provide guidance for compliance within the practice. Ability to maintain the highest level of confidentiality.

  • Positive attitude, a good sense of humor and sincere willingness to constantly learn and grow. Be a responsible and dependable team member.

Education and Other Designation:

  • High school degree or higher. Associate or bachelor’s degree is preferred.

  • Experience in financial services 1-2 years or more is preferred.

  • FINRA Series 6 or 7 and 63 licenses are a plus.

  • Reliable commute to office.
