Job Description:

The administrative staff at Fidelity plays a vital role in the company's success, and those individuals serving in these positions are recognized by their colleagues as key members of their group, department, or organizational team. You will deal directly with and provide support to management at all levels of the company and frequently deal directly with customers and business partners as well. Your excellent communications skills will be constantly put to the test, as will your ability to handle multiple tasks simultaneously as you serve as a focal point of a dynamic, fast-paced business environment.

Responsibilities:

Provide advanced and diverse administrative support within Asset Management. This support will include:

  • Extensive and complex calendar management for multiple executives and investment professionals

  • Coordinate all aspects of meetings and planning with various contacts across the organization

  • Prioritize and coordinate daily workflow of expected and unexpected to ensure accuracy, efficiency, and timeliness

  • Communicate “on behalf of” at all levels both internally and externally

  • Develop and maintain working relationships across business units to facilitate efficiency and problem solving

  • Gather, format, and/or deliver detailed, highly confidential information

  • Arrange complex domestic and international travel plans

  • Process Travel & Expense reports

Requirements:

This position requires an experienced administrative assistant who demonstrates professionalism, maturity, enthusiasm, initiative, and a high level of energy. Assignments are often confidential and complex in nature, and therefore, the incumbent must have the ability to exercise extreme sensitivity, discretion, judgment, tact and diplomacy. In addition the following are essential:

  • 5+ years of executive administrative experience required

  • Ability to organize and prioritize

  • Ability to work independently and as a team member

  • Ability to work with and meet critical deadlines

  • Ability to effectively interact with all levels and maintain a high level of confidentiality

  • Patience, creativity, flexibility, and teamwork in scheduling meetings

  • Self-starter with a strong sense of ownership and involvement

  • Attention to detail, follow-through and utilization of judgment to problem solve, make decisions and take initiative

  • Ability to remain poised, professional and focused in a continuously changing and fast paced environment

  • Strong Microsoft Office skills; Outlook, Word, PowerPoint, Excel and MS Teams

  • A true collaborative partner with the executives and their teams who can anticipate needs

  • A flexible team player willing to get involved and assist the larger team including backing-up peers

  • A bachelor’s degree strongly preferred or related work experience
