The Position

Liberty Mutual Investments has an exciting opportunity for a highly qualified Senior Executive Assistant to join the Administrative Solutions team. The team of five pooled resources plays a vital role supporting various levels across the organization. This position offers unique insights and exposure to diverse opportunities within the business.

The responsibilities encompass intricate meeting coordination, travel logistics, project management, ad hoc projects and adept handling of sensitive information. Embrace the challenge of juggling diverse tasks, ensuring seamless communication and efficient workflow across different levels within the company. You’ll play a key role in streamlining processes, managing priorities and facilitating smooth collaboration. Provides administrative support across the business, while exercising confidentiality, tact, and diplomacy. This position offers a unique chance to showcase your adaptability, organizational prowess and interpersonal skills as you contribute to the success of our Administrative Solutions team and the overall efficiency of our business operations.

This is a hybrid role. The selected candidate must live within a commutable distance to the Boston office and come into the office every Tuesday, Wednesday and Thursday.


Responsibilities:

  • Provides administrative support to team members, including, but not limited to:
    • Coordinate and prepare agendas, materials, and follow-ups for meetings and events, ensuring alignment with business priorities.
    • Manage complex travel logistics across multiple time zones, including air, ground, accommodations, and contingency planning.
    • Provide real-time travel support and ensure seamless coordination across teams.
    • Assists with online retrieval and archiving documents as well as supporting the Company's records and retention schedule
    • Create, format, and refine presentations, reports, and internal communications with a focus on clarity, accuracy, and brand alignment.
    • Maintain shared documentation systems, including digital filing, retrieval, and compliance with retention policies.
    • Leverage advanced tools like ChatGPT to streamline work, enhance productivity, and support dynamic problem-solving.
    • Serve as a go-to resource for technical troubleshooting and digital productivity tools.
  • Partners with Leadership Team Executive Assistants to ensure success in all areas
  • Interaction with individuals from all levels of the organization
  • Special projects as required

Qualifications

  • Solid knowledge of administrative procedures, software applications (such as Microsoft Office Word, Excel, PowerPoint, Teams, Adobe Acrobat, etc.) records management systems, and other business procedures and terminology.
  • Excellent organizational skills, time management skills and attention to detail, to include anticipating needs, being resourceful and proactive.
  • Displays high degree of professionalism to maintain confidential information with discretion, deal with people tactfully, and help establish strong relationships and positive communication.
  • Strong ability to read complex settings and respond to challenging people and/or circumstances with diplomacy and tact.
  • Competencies typically acquired through an associate`s degree (or equivalent) and 3 to 5 years of relevant and progressively more responsible administrative experience, to include prior experience providing support at the management level.
  • Investments experience or background a plus but not expected.

The full salary range for this role reflects the competitive labor market value for all employees in these positions across the national market and provides an opportunity to progress as employees grow and develop within the role. Some roles at Liberty Mutual have a corresponding compensation plan which may include commission and/or bonus earnings at rates that vary based on multiple factors set forth in the compensation plan for the role.
