Description

Global Legal & Compliance has an exciting opportunity for a highly qualified Senior Executive Assistant to join the Legal Support Solutions team. In this role, you will support the Deputy General Counsel of Enterprise Legal and members of the Enterprise Legal leadership team. The role centers on day-to-day coordination to maximize executive effectiveness. You will exercise sound judgment and discretion while strategically managing executive calendars, preparing concise meeting materials, coordinating complex travel and logistics, and handling highpriority administrative responsibilities.

Success in this role requires strong critical thinking and communication skills: you’ll anticipate needs, surface issues and options, make informed decisions with minimal direction, and recommend solutions that leaders routinely accept. You will manage conflicting priorities, balance competing demands across stakeholders, and partner across teams to schedule and optimize meetings and protect focused work time. Confidentiality, diplomacy, and a serviceoriented mindset are essential.

Boston is the preferred location; candidates outside the area who meet the qualifications are encouraged to apply.

The maximum salary for this position is $121,000. Actual compensation will be determined based on the candidate’s experience and historical performance appraisal outcomes.

Candidates who live within 50 miles of Boston, MA, will follow a hybrid schedule, coming into the office two days per week.

Responsibilities:

  • Demonstrate proficiency with approved AI and productivity tools (e.g., LibertyGPT and other enterprisesanctioned platforms), using them securely and effectively to draft communications, summarize documents, conduct research, and streamline executive workflows while maintaining confidentiality and compliance.
  • Identifies each executive’s preferred working style and support methods; adapts approach to maximize their effectiveness and maintain clear, consistent communication.
  • Manages executive calendars strategically, acting as a gatekeeper to prioritize meetings, resolve scheduling conflicts, protect focus time, and keep leaders informed of changes.
  • Balance and manage conflicting priorities and competing stakeholder demand, escalating issues, and proposing practical solutions when appropriate.
  • Prepares executives for meetings by creating concise materials, setting agendas, collecting and distributing prereads, and, when required, attending meetings and liaising with external partners.
  • Coordinates complex travel arrangements and itineraries (transportation, lodging, agendas), handles changes efficiently, and processes related expenses.
  • Produces and edits documents, presentations, spreadsheets, and correspondence (PowerPoint, Excel, Word, Adobe, etc.), ensuring accuracy, consistent formatting, and clarity of content.
  • Organizes and maintains records and collaboration spaces (MS Teams, SharePoint), supports the company recordsretention schedule, and enables easy retrieval of information.
  • Plans and supports team events and meetings—virtual and inperson—including staff meetings, town halls, quarterly offsites, and other gatherings.
  • Supports process and program administration: maintains distribution lists, coordinates nominations, administers surveys, conducts targeted research, gathers resources, and prepares required documentation.
  • Stays current on new tools and technologies that enhance executive productivity, communicates useful functionality to stakeholders, and assists with basic troubleshooting and onboarding.
  • Applies strong organizational, timemanagement, and attentiontodetail skills; anticipates needs, is resourceful and proactive, and delivers highquality results with minimal direction.
  • Maintains the highest level of professionalism and discretion in handling confidential information; navigates complex interpersonal situations with diplomacy and tact.

Qualifications

  • Solid knowledge of administrative procedures, software applications (such as Microsoft Office Word, Excel, PowerPoint, Teams, Adobe Acrobat, etc.) records management systems, and other business procedures and terminology.
  • Excellent organizational skills, time management skills and attention to detail, to include anticipating needs, being resourceful and proactive.
  • Displays high degree of professionalism in order to maintain confidential information with discretion, deal with people tactfully, and help establish strong relationships and positive communication.
  • Strong ability to read complex settings and respond to challenging people and/or circumstances with diplomacy and tact.
  • Competencies typically acquired through an associate`s degree (or equivalent) and 6 to 8 years of relevant and progressively more responsible administrative experience, to include prior experience providing support at the management level.
