Description

The Business Analyst II role supports TPA Sales and Service operations, reporting into the Carrier and Data Analytics team at Helmsman Management Services. Recognized among the top multiline TPAs in the Business Insurance TPA Directory — ranking 5th among the largest multiline TPAs for employer claims for the third consecutive year — Helmsman's continued success is driven in part by the operational rigor and analytical support this role provides. This position plays a critical internal-facing role, partnering with Sales Leadership, Service teams, and senior stakeholders to support a broad range of operational, reporting, content development, and analytics functions. The ideal candidate is a proactive, detail-oriented professional who thrives in a dynamic environment and is comfortable managing multiple high-priority workstreams simultaneously. Key responsibilities include HMS mailbox governance, sales analytics and performance reporting, executive content development, pipeline governance, and business operations support.

Responsibilities

  • Own and manage the HMS mailbox, including triage, routing, and escalation of inquiries to appropriate stakeholders, and support the development and maintenance of AI-assisted governance and workflow processes.
  • Develop and maintain select slides and materials for the Monthly Operating Review (MOR), ensuring accuracy, quality, and alignment with organizational priorities.
  • Coordinate quarterly NCCI transmittals and other recurring operational reporting obligations, ensuring accuracy and timely submission.
  • Provide ad hoc Sales and Service operational support, responding to leadership requests and cross-functional needs in a timely and effective manner.
  • Lead Reporting & Analytics functions, including ownership of the Weekly Submission Report, weekly executive reporting, pipeline reporting, business performance reporting, FTE reconciliation analysis, and dashboard management.
  • Manage Sales Operations activities including prospect administration, sales process support, CRM reporting, and pipeline governance to drive visibility and accountability across the sales organization.
  • Oversee Business Operations by driving process documentation, workflow management, and operational improvement initiatives, while providing cross-functional coordination and backup support as needed.
  • Contribute to Content Development efforts, including executive presentations, leadership communications, and board materials, ensuring deliverables are polished and aligned with organizational messaging.
  • Partner with Sales Leadership and relevant stakeholders to develop, refine, and maintain leadership-facing content, ensuring materials are accurate, compelling, and delivered on time.
  • Administer and govern the Sales Prospect SharePoint site, maintaining data integrity, user access, and content currency in support of Sales team operational needs.
  • Track and maintain Takeover Team pipeline reporting, ensuring accurate data management and timely delivery to relevant stakeholders.

Qualifications

  • Possesses strong communication, organizational, analytical, critical thinking, presentation, and relationship management skills, as well as effective team-building abilities.
  • Advanced proficiency in Microsoft Excel and PowerPoint required; experience with data visualization tools, SharePoint administration, and CRM platforms strongly preferred.
  • Proven ability to analyze complex sales and operational data, synthesize findings, and present insights in a clear and actionable format for senior leadership.
  • Proficient in leveraging AI tools, including LibertyGPT, to improve operational efficiency and automate workflows; experience or aptitude for developing activity-specific AI assistants to drive team effectiveness and process improvement.
  • Solid understanding of business operations, including sales analytics, reporting, and sales operations functions, strongly preferred.
  • Background in commercial insurance, TPA operations, or a related financial services environment preferred.
