Reports to: Site Operations Sr. Manager
Compensation: $55,000-$60,000

MassChallenge is looking for an energetic, entrepreneurially minded Site Operations Associate for our flagship office in Boston, MA. This is a fully on-site role on a Monday - Friday cadence and will be required to support some hours in the evening for events.

The Site Operations Associate is the first person that visitors, staff, and residents meet when entering our space, as this position serves at the Front Desk.

You will undertake a variety of day-to-day office, administrative, events and IT/AV administrative tasks to ensure that our Boston operations run smoothly. You will also support the community team with the MC residency program.

The Site Operations Associate is a highly visible role and will frequently use troubleshooting and critical thinking skills to attend to visitor and internal staff needs. This person is a key ambassador for MassChallenge and therefore for the startup ecosystem as a whole. They must possess a high standard of work and customer service acumen, be comfortable in a multitasking environment, have strong verbal communication skills, pay close attention to detail and embrace challenging situations with confidence and a positive outlook.The Site Operations Associate will report to the Site Operations Senior Manager.

What You’ll Do
Greet and Assist Guests, Startups and Staff

  • Manage check-in and visitor flow. Greet visitors warmly and make sure they are comfortable. Notify staff of visitors and direct guests to their meeting room.

  • Learn and support our AV across the Boston office and trouble shoot on-site requirements for AV.

  • Support space and kitchen cleaning, especially during event activities.

  • Schedule and support office tours and event requests in collaboration with the Site Operations Manager.

  • Support all in-house MC and partner events, under the direction of the Snr Manager Events and Snr Manager, Facilities.

  • Troubleshoot and route basic questions, issues, and requests from visitors, resident teams, and internal staff.

  • Support relationships with building management and security.

  • Support relationships with key office vendors.

  • Support startup activities and communications.

  • Other Front Desk tasks as assigned.

Office/ Technology

  • Ensure office area is clean and organized

  • Coordinate mail flow in and out of office.

  • Manage office supplies and orders.

  • Work with IT vendor to support in-office IT, such as conference room technology.

  • Work with IT vendor to trouble shoot IT or AV problems, with supervision.

Events:

  • Attend weekly Space Reservation meetings and understand the scheduled events.

  • Serve as contact person for events team as needed.

  • Support and attend MC and partner events

Who You Are and What You Bring

  • You have 0-2 years of work experience in a similar type role; experience with startup environment a plus.

  • You have strong organizational skills, including the ability to set priorities, juggle multiple tasks, and organize time effectively.

  • You have outstanding interpersonal skills, including the ability to work both in groups and individually to achieve goals and to develop effective working relationships with staff and external constituents.

  • You are committed to providing high-quality customer service through responsiveness to all requests and maintaining a professional demeanor at all times.

  • You have a conscientious approach to work with the ability to anticipate needs and be proactive in order to resolve issues.

  • You have excellent verbal and written communication skills.

  • You have sound judgment and discretion in handling confidential information.

  • You have knowledge of and demonstrated proficiency in the use of software (Microsoft Office) while also quickly learning systems and processes specific to MassChallenge.

  • You have a demonstrated passion for helping startups and a deep connection and interest in the global entrepreneurial community.

Compensation

  • MassChallenge offers competitive salaries, excellent benefits, and a supportive working environment.

  • Salary is based on a nonprofit scale and commensurate with skills and experience.

  • For this position, the base salary range is $55,000-$60,000

  • Internal equity considerations and the average salary of the peer range will be reviewed before making a final offer.
