The Opportunity
We are seeking a highly motivated and experienced Executive Liaison to provide senior-level administrative and operational support within Project Governance and Delivery organization, which includes the Corporate Functions Program Management Office (CFPMO) and Strategy, Planning & Delivery (SP&D). While the role will support the broader Project Governance & Delivery (PG&D) organization, the majority of time will be focused on CFPMO and its broad remit across Corporate Functions.
This role requires strong attention to detail, sound judgment, and the ability to manage multiple priorities in a fast-paced environment supporting numerous Executive Leadership Team (ELT), Senior Leadership Team (SLT), and governance engagements. Responsibilities include managing complex calendars for senior project governance and delivery leaders, coordinating high-priority leadership meetings and forums, preparing executive-ready materials, supporting meeting readiness and follow-through, handling travel arrangements and expense reconciliation, and partnering across the Corporate Functions to ensure effective planning and execution.
The ideal candidate is highly organized, collaborative, proactive, and comfortable operating in a role that supports senior-level decision-making, disciplined execution, and consistent engagement across multiple leadership forums. This position is based in Boston or Springfield with a hybrid schedule.
The Team
Project Governance and Delivery includes CFPMO and SP&D and supports disciplined execution, leadership engagement, and governance routines across Investment Management. CFPMO has a broad remit across Corporate Functions, and this role will primarily support the CFPMO operating rhythm, executive engagement model, governance forums, and cross-functional coordination needed to keep leaders organized, prepared, and aligned for key ELT, SLT, and leadership meetings.
Project Governance and Delivery helps advance the organization’s strategy by supporting executive engagement, governance processes, project delivery discipline, and consistent communication across senior leadership forums. The team partners closely across Corporate Functions to improve decision-making, strengthen meeting effectiveness, and ensure follow-through on priorities, actions, and commitments.
The Impact
This role requires a proactive, self-directed approach to anticipating and meeting the administrative and operational needs of Project Governance and Delivery leaders.
The Executive Liaison will operate in close partnership with senior leaders, project governance stakeholders, and administrative partners to support numerous ELT and SLT engagements, leadership meetings, governance forums, and recurring operating rhythms. Responsibilities will include, but not be limited to the following:
- Executive calendar and meeting management: own complex calendar strategy by proactively prioritizing and protecting dedicated focus time, coordinating scheduling across multiple time zones, and efficiently resolving conflicts for senior Project Governance and Delivery leaders. Maintain a deep understanding of leadership priorities, ELT and SLT engagement needs, governance commitments, and related Corporate Functions engagements to make informed scheduling decisions, including accepting/declining meetings and appropriately reprioritizing requests.
- Executive communications: Draft, edit, and proofread executive communications, meeting materials, memos, presentations, talking points, and exhibits with strong attention to voice, tone, accuracy, and audience. Proactively identify communication needs for leadership engagements, governance forums, and cross-functional meetings.
- Meeting readiness and follow-through: Coordinate recurring operating rhythms, including staff meetings, leadership reviews, ELT and SLT touchpoints, project governance forums, and executive decision-making meetings. Support agenda planning, material preparation, action item capture, follow-up tracking, and closure.
- Business operations support: Assist with planning cycles, governance deliverables, leadership engagement materials, Demand Capacity metrics, quarterly strategy reviews, and other operating routines across PG&D. Maintain team distribution lists, organizational materials and project governance artifacts.
- Travel and expense coordination: Arrange extensive domestic and international travel. Manage detailed itineraries and changes. Prepare and submit expense reports. Ensure compliance with company policies. Coordinate budget items including invoice/vendor management for Corporate Technology teams.
- Events and offsites: Plan and execute executive meetings, governance sessions, leadership offsites, conferences, and team events, including virtual and in-person formats. Coordinate venue/logistics, vendor management, attendee communications, conference rooms, catering, meeting materials, and readiness support in partnership with executive support teams and/or the Event Planning Team.
- Process improvement: Identify opportunities to streamline administrative processes and meeting cadences. Leverage technology tools (e.g., Microsoft 365) to improve efficiency and transparency.
- Office of Enterprise Resilience Coordination: Support business continuity and resilience efforts by assisting with OER planning and preparedness activities, maintaining required documentation, coordinating annual validations and testing, and partnering with stakeholders to ensure readiness, risk awareness, and effective response to business disruptions.
The Minimum Qualifications
High school diploma (or equivalent diploma)
3+ years of related experience with executive administration, office manager, or administrative support role
The Ideal Qualifications
Associate’s degree
5+ years of related experience with senior executive administration, office manager, or similar roles in the financial services industry
2+ years of experience event planning, calendar management and meeting coordination
Proficient working knowledge of Power Point, Excel, Ariba, Concur, and other technology required to support an organization
Strong communication skills with the ability to communicate effectively using verbal and written methods to all levels of an organization
High level of attention to detail and time management, with a strong understanding of the importance of being responsive and proactive in a deadline-driven environment
Collaborative approach, performs routine administrative support proactively and demonstrates openness to provide assistance as urgent situations or ad-hoc needs arise
Team Player/Relationship Building: Collaborative with strong interpersonal skills; able to relate to and build strong relationships with diverse internal and external audiences; leverages the ability to deliver effectively
Innovation: Continually looks within and beyond their job, anticipating business needs and opportunities
Expertise with communication tools, like Zoom, Teams and Slack
Experience supporting executive governance routines, leadership meetings, or senior stakeholder engagements across ELT, SLT, or equivalent leadership forums
Expert knowledge and comfort working with advanced versions of Microsoft Office suite (Word, Excel, PowerPoint, etc.)
Advanced proficiency with Concur and Workday

Salary Range:
$93,500-$117,800At MassMutual, we focus on ensuring fair equitable pay, by providing competitive salaries, along with incentive and bonus opportunities for all employees.
